Our policies, important information, and frequently asked questions.

Extra Guest Policy

To preserve the peaceful and relaxing environment of our Serenity Room, access is reserved exclusively for clients who have purchased an Amenities Pass or are receiving services that include Serenity Room access.

Guests accompanying clients are welcome in our reception area; however, individuals who are not receiving services or have not purchased an Amenities Pass may not access or utilize the Serenity Room.
We appreciate your understanding and cooperation as we strive to maintain a tranquil experience for all guests enjoying our spa amenities.
*Amenities Pass purchases are non-transferable and may only be used by the individual for whom the pass is purchased.

Children Policy

To ensure the comfort, safety, and relaxation of all guests, children are not permitted in the spa unless they are scheduled to receive a service (please see our service-eligible age restrictions below)
Children may not accompany guests into treatment rooms, the Serenity Room, or other spa amenity areas, and may not be left unattended in the reception area.
We appreciate your understanding as we maintain a calm and restorative environment for every guest.

Minor Guest & Age Restriction Policy

The safety, comfort, and well-being of guests are our highest priorities. For all services provided to minors, the following age restrictions and supervision requirements apply:

Massage Services: All guests under the age of 18 receiving massage services must have a parent or legal guardian present in the treatment room for the entire duration of the service. No exceptions will be made to this policy.
Facial Services: Guests ages 14–15 receiving facial services must have a parent or legal guardian present in the treatment room for the duration of the service. Guests ages 16–17 receiving facial services may receive treatment independently; however, a parent or legal guardian must remain on the spa premises for the duration of the appointment.

A parent or legal guardian may be required to complete consent forms prior to treatment. Valid identification may be requested to verify age and guardianship. We appreciate your cooperation in helping us provide a safe and professional environment for all guests.

Cancellation Policy

Your spa treatments are reserved especially for you. We value your business and ask that you respect the spa’s employees and scheduling policies.

Should you need to cancel or reschedule, please notify us at least 24 hours in advance for a full refund.
Any cancellations with less than 24 hours’ notice may be subject to a 50% cancellation fee. Same-day cancellations may be subject to 100% of the cost of the scheduled service or $75 for injectable and RF Microneedling appointments.
Clients who cancel their appointment within 3 hours of the appointment time or miss their appointments without giving any prior notification will be charged 100% of the scheduled service fee, or a $75 maximum no-show fee for injectables and RF Microneedling.

Same Day Bookings

Our system is configured to give our service providers a 2-hour advance window for same-day bookings; however, if our service providers are here and available, we may be able to accommodate walk-ins. Same-day bookings require payment at the time of booking. Please call the spa directly for availability: 904-586-2024

Client Identification Policy

At Balanced Soul Wellness, the safety, security, and privacy of our clients, providers, and staff are of the utmost importance. To help maintain a secure environment and ensure compliance with consent and treatment requirements, all clients are required to present a valid government-issued photo ID at check-in.

Client identification may be securely retained on file for verification purposes. This policy allows us to confirm that the individual receiving services is the same individual completing and signing all required consent forms and treatment documentation.
Failure to provide valid identification upon request may result in the postponement or cancellation of services until identity can be verified.

We appreciate your understanding and cooperation as we work to protect both our clients and the Balanced Soul Wellness team.

Group Bookings

For parties of four or more, please contact our reception for group booking policies and availability.

A completed contract and deposit are required to secure your appointment and arrange pricing.
A 20% gratuity will be added to all spa parties.
Exclusive use of the Spa is available; please inquire for fees and available dates.

Cell Phones

We kindly ask that you turn your cell phones and pagers to vibrate upon arrival and to remember to speak in your very soft spa voice once you enter the spa.

Please inform your therapist if you need to make a phone call so that you may do so without disturbing other spa guests.
Cell phone use may affect the length of your spa services.

Prices and Services

Prices and services are subject to change without notice.

We do our best to keep our clients up to date on any changes that may occur, but we encourage all clients to inquire about pricing and available services when booking their appointment.

Gift Certificate Policy

Gift Certificates are available in any amount and may be purchased at the spa, by phone 904-586-2024, or as an E-Gift via online.

Out of town? Too busy? No problem. We will mail your gift certificate to you.

Unfortunately, we are unable to process any returns or reimburse any payment transactions on gift certificates, even if lost, misplaced, or stolen.
All gift card sales are final and non-refundable.
Gift certificates cannot be redeemed for cash.
Gift Certificates must be mentioned when making your appointment.

Series of Treatments

We are unable to process any returns or reimburse any payment transaction on any spa treatment series that are purchased. We will, however, exchange them for other products or spa credit of equal value.

Gratuity

Gratuity is not included in the price of services or spa packages; customary tipping is 15% to 20% and is, of course, at your discretion.

You may tip the therapist in the room or at checkout at the front desk with cash, check, or credit card.
With parties of 4 or more, a 20% gratuity will be added to the final bill.

Check in

We ask that you please arrive 10-15 minutes prior to your appointment time.

We will do our best to accommodate late arrivals. However, the length of service may be adjusted to avoid interrupting the scheduled appointments of other guests.
The full price of scheduled services will apply, so please plan accordingly.
Of course, beyond the check-in policies, we invite all our guests receiving services to make full use of our relaxing environment here at Balanced Soul Wellness Day Spa.
Come early, stay late, bring a book, relax, and enjoy a complimentary beverage on us in our relaxation area.

Personal Belongings

The Spa DOES NOT allow bags, backpacks, or large purses of any type.

Only small wallets and wristlets are allowed.
Please leave all jewelry and valuable items at home.
Balanced Soul WELLNESS is not responsible for lost or misplaced items.

Spa Promotions

Balanced Soul WELLNESS cannot be used in combination with any other offer, promotion, or third-party gift certificates.

Prepayment

Balanced Soul Wellness will run the payment method we have on file for you, 24 hours prior to your scheduled appointment time.

This is because the appointment is within our cancellation policy time frame.
If you have a gift card, please add the gift card number to your appointment notes.
If you intend to pay with a different method from the one you provided at the time of booking, it is your responsibility to notify reception before any prepayments are made.
Refunds for prepayments will be granted in accordance with our cancellation policy if you need to reschedule or modify your appointment.

Return Policy

It is our mission to provide you with the highest-quality skin and body care products and services. In fact, you may like these products so much that you wish to use them every day in your own home!

In the event you purchase any of our spa products for home use and find them to be defective, we will exchange any products within 14 days of purchase, provided a receipt is presented.
Unfortunately, we cannot provide cash refunds for returned products.
Instead, a spa credit will be provided for any returned products to be used on any other products or spa services available here at Balanced Soul WELLNESS.

Parking

Street parking is available on Hendricks Ave, directly across from our front doors, and is open to the public.
Balanced Soul Wellness’s private lot is behind our building, accessible from Cedar St. This gravel lot is the only one owned by Balanced Soul Wellness.
Parking anywhere else unmarked or on property owned by Balanced Soul Wellness may result in your vehicle being towed.
Balanced Soul Wellness is not responsible for any tow fees or obligations resulting from parking outside of these listed areas.
